Conference Badge Scan Workflow
A badge scan captures a name, a company and sometimes a title — the same shallow starting point as a cold database record, except it costs meaningfully more per lead in booth and travel spend, and it decays even faster because the person's memory of the interaction fades within days. The event isn't the hard part; the seven days after it are where most conference leads are wasted.
Qualify at the scan, not just after
[ ] A short, consistent set of questions asked at every scan —
role, current situation, interest level — logged at the booth,
not reconstructed from memory afterward
[ ] A simple hot/warm/cold tag applied in the moment by whoever
scanned, while the conversation is still fresh
[ ] Note anything specific said, in a field, not just the badge data
A badge scan with no notes is indistinguishable from a name pulled off an attendee list — the actual value of a booth conversation is the specific thing that was said, and that's lost the moment the booth staffer moves to the next visitor without capturing it. Build the capture habit before the event, not during it.
