Integrating Direct Mail Into a Sequence
Physical mail's biggest practical difference from every other outreach channel is lead time — it takes days to weeks to design, produce and deliver, which means it can't be triggered reactively the way an email or a call can. It has to be planned into the sequence in advance, with every other touch timed around its longer, less predictable delivery window rather than the other way around.
Plan backward from the mail piece's arrival, not forward from when it's sent
Weak the mail piece is sent, and follow-up touches are then
scheduled based on the send date, ignoring that delivery
itself might take another week
Strong a target arrival date is set first, and every other touch
in the sequence is scheduled relative to that date, with
the send date calculated backward from it, accounting for
realistic production and delivery time
Confirm actual delivery timelines with whoever's producing and mailing the piece, and build in buffer — delivery estimates are frequently optimistic, and a sequence built around an assumed arrival date that slips by several days puts every subsequent touch out of sync with a piece that hasn't landed yet.
