Renewal-At-Risk Outreach
A cancellation rarely happens without warning signs — declining usage, unanswered support tickets, a key champion who's left the company, silence after a genuine problem. The accounts that churn "unexpectedly" almost always showed a detectable signal weeks or months before the actual cancellation; the failure is usually in not watching for it, not in the signal being genuinely absent.
Signals that reliably precede a renewal risk
[ ] A significant, sustained drop in usage or login frequency
compared to the account's own baseline
[ ] A key champion or primary user leaving the company or changing
role, without a clear successor engaging
[ ] An unresolved or poorly-resolved support issue, especially one
that recurred or took an unusually long time
[ ] Reduced engagement with account management touchpoints —
missed calls, unanswered emails, declining meeting attendance
[ ] A competitor mention or evaluation surfaced through any channel
A champion departure with no successor engaging is one of the strongest, most under-watched risk signals available — the relationship and the internal advocacy that originally drove the purchase decision may have left the building entirely, and unless someone notices and re-engages proactively, the account often churns quietly at renewal with nobody internally still invested in keeping it.
